Job Description

Job Summary

To manage travel documentation, expatriate compliance, and employee engagement activities. The ideal candidate should have strong coordination skills, knowledge of visa and FRRO processes, and the ability to handle multiple administrative responsibilities efficiently.


Role & responsibilities

1. Visa Handling & Travel Documentation

  • Manage end-to-end visa processing for China and other international destinations
  • Coordinate with visa agents, embassies, and employees for documentation
  • Ensure timely submission, tracking, and collection of visas
  • Maintain updated visa records and travel compliance documents

2. FRRO & Expat Management

  • Handle complete FRRO registration, renewal, and compliance for expatriates
  • Coordinate with government authorities for visa extensions, residential permits, and related documentation
  • Maintain expat database and ensure compliance with Indian immigration laws
  • Support expats with documentation and regulatory formalities

3. Employee Travel Assistance

  • Assist employees in travel planning including:
    • Flight ticket booking
    • Hotel reservations
    • Travel itinerary coordination
  • Compare fares and ensure cost-effective booking options.
  • Coordinate with travel portals and vendors

4. Office Engagement & Activities

  • Plan and execute office engagement activities and celebrations
  • Organize indoor games, cultural events, and team-building initiatives
  • Coordinate logistics, vendors, and internal communication for events

  • Promote employee participation and engagement.

Required Skills & Qualifications:

  • Bachelors degree in administration, Business, or related field.
  • 3-5 years of experience in administration or travel coordination.
  • Strong knowledge of visa processing and FRRO compliance
  • Good communication and coordination skills
  • Proficient in MS Office (Excel, Word, Outlook)
  • Ability to multitask and work under deadlines
  • Strong documentation and record-keeping skills

Preferred Skills:

  • Experience in handling expatriate employees
  • Knowledge of international travel regulations
  • Event planning and employee engagement experience
