Job Description
Administrative executive is responsible for providing financial and administrative support to the executive in a professional and timely manner. Needs to work one-to-one with the team on a wide variety of matters. The candidate must be flexible to meet the demands of our growing organization. The ideal candidate will have a cheery disposition, impeccable organizational skills and ready to work in shifts.
Job Role and responsibilities
- This role act as the primary point of contact between the executives and internal/external clients
- Have knowledge on housekeeping services. Have command on HK chemicals.
- Able to manage HK team.
- Handle requests, feedback, and queries quickly and professionally
- Should understand the basic financial terminology and be able to manage
- Arrange executive travel, hotel and dining arrangements as needed
- Monitor office supply levels; reorder when appropriate
- Produce professional-quality reports, presentations and briefs
- Perform the task accurately which is delegated by team members & mentors.
- Have to take care of stationery items, birthday gifts, first-aid kits, lockers, etc.
- Should look after the Cafeteria maintenance, quality of food and hygiene
- Answering incoming calls; taking messages and re-directing calls as required
- Responsible for dispatching mails / couriers and keeping the records on daily basis
- Supervise multidisciplinary teams of staff including cleaning, maintenance, office boys and security
- Issuing of ID cards, Name plates, assigning lockers to the newly joined employees by coordinating with HR department
- Maintain strong relationships with vendors on supplies and services.
- Develop and carry out an efficient documentation and filing system for both paper and electronic records
- Maintain a daily electronic journal, arrange meetings and appointments and provide reminders as needed, maintain a master corporate calendar of all conferences, all-hands events, holidays, and vacations.

- Minimum Graduation required.
