Job Description

Role Overview

The Assistant/Secretary will provide administrative, coordination, and communication support to ensure smooth day-to-day operations. The role requires strong MS Office skills, good English communication abilities, and basic exposure to travel management.


Role & responsibilities

1. Administrative & Office Support

  • Manage daily correspondence, emails, and documentation.
  • Prepare, format, and edit reports, letters, and presentations using MS Word and MS PowerPoint.
  • Maintain office records, files, and data in an organized manner.
  • Handle scheduling, appointment management, and meeting coordination.

2. Excel & Data Management

  • Prepare and update Excel sheets, trackers, and reports.
  • Perform basic data entry, formatting, and analysis.
  • Maintain dashboards, MIS reports, and follow-up lists.

3. Travel & Logistics Support

  • Assist in arranging travel bookings (flight/train tickets, hotels, cabs).
  • Coordinate itineraries and ensure required travel documents are prepared.
  • Handle reimbursements and travel-related documentation.

4. Communication & Coordination

  • Draft emails, notes, and communication materials.
  • Coordinate with internal teams and external stakeholders.
  • Support senior executives with follow-ups and timely updates.

5. General Support Activities

  • Assist in organizing meetings, events, and reviews.
  • Maintain confidentiality and handle sensitive information responsibly.

Provide additional administrative support as required.


Preferred candidate profile

  • Strong proficiency in MS Office (Word, Excel, PowerPoint).
  • Good command over English communication (written & spoken).
  • Ability to draft professional emails and documents.
  • Basic knowledge of travel management and logistics.
  • Strong organizational and time-management skills.
  • Attention to detail and ability to multitask.
  • Professional, disciplined, and proactive work approach.

Qualifications

  • Graduate in any discipline.
  • 23 years of experience in an administrative/assistant/secretarial role.
  • Experience supporting senior management will be an added advantage.
