Job Description

    As an ideal candidate for this position, you should possess 1-3 years of prior experience in executive assistance, secretarial roles, or office management, with a preference for experience in a law firm or legal setting.
    Your primary responsibilities will include calendar and appointment management for the Founder Lawyer. This involves booking and coordinating meetings, client consultations, and court dates. It will also be crucial for you to prioritize and manage the founder's schedule efficiently to ensure effective time management.
    Client interaction is a vital aspect of this role. You will be responsible for handling client communications, including calls, emails, and appointments, with a strong emphasis on confidentiality and professionalism. Additionally, you will prepare and maintain records of client communications and follow up as necessary.
    Legal document management is another essential part of your role. You will assist in proofreading basic legal documents, correspondence, and contracts as required by the Founder Lawyer. Maintaining an organized filing system for case files, documents, and legal paperwork will also be a key responsibility. Furthermore, you will prepare and manage legal documents for meetings and client consultations.
    Office staff and office management tasks will fall under your purview. This includes supervising office staff, ordering and managing office supplies, and serving as the primary liaison with service providers to ensure that the office facilities are well-maintained.
    You will be responsible for making travel arrangements for the Founder Lawyer, including flight bookings, hotel reservations, and transportation. Coordinating travel schedules with business meetings or court appearances will also be part of your role.
    Invoice and financial support tasks will require you to issue invoices for legal services rendered, ensure timely follow-ups, monitor financial transactions, verify and record them, and maintain basic accounts related to the firm's operations. Additionally, you will assist with other administrative tasks related to financial documentation as needed.
    Note-taking and dictation tasks include taking notes during meetings, client calls, and court hearings, providing clear and concise summaries when required, and transcribing legal dictation for briefs, contracts, and other legal documents.

    Confidentiality and legal compliance are of utmost importance in this role. You must handle all sensitive legal and client information with the highest level of confidentiality and ensure compliance with legal regulations and office protocols.
    Various miscellaneous administrative tasks will also be assigned to you by the Founder Lawyer. Maintaining an organized and efficient workflow to support the Founder in both personal and professional capacities is essential.
    Occasionally, you may be required to assist with personal tasks for the Founder Lawyer, such as making personal appointments, managing personal travel, or other administrative duties outside the law firm's scope.
    This is a full-time, permanent position with a day shift from Monday to Friday, requiring in-person work at the designated location.,
