Job Description

Maintain a strong understanding of the institution's programs, admission criteria to accurately inform parents.

  • Call all leads for admissions and answering inbound calls to give complete details about the school and the admission process
  • Explain the programs offered to interested parents through all prescribed forms of communication.
  • Support the parent till the stage of either filling out the pre-application form OR ensuring that the parent attends the campus tour.
  • Attend ALL mandatory training sessions, reviews and meetings.
  • Follow-Up Calls: Make follow-up calls to leads who have shown interest in the institution, offering additional information and guiding them through the application process.
  • Data Management: Maintain accurate records of interactions, leads, and student data in CRM software and ensure timely follow-ups.
  • Collaboration: Work closely with the admissions and marketing teams to ensure smooth coordination and alignment in outreach activities.
  • Maintain Professionalism: Represent the institution in a professional manner, ensuring a positive impression of the institution with prospective students.
  • Document & Record Management: Call and collect the mandatory documents for the admission process. Maintain perfect record of documents- submitted and pending for the new admission parents along with tentative deadline for the document submission.

Qualifications:

  • Bachelors degree with strong communication skills, with the ability to speak clearly and confidently over the phone.
  • Basic computer skills, including experience with CRM software, Microsoft Office, and other relevant tools.

Key Performance Indicators:

  • Lead Contact Rate: Percentage of prospective parents (leads) contacted within a specified timeframe after expressing interest.
  • Response Time: Average time taken to respond to inbound inquiries from prospective parents.
  • Lead-to-Application Conversion Rate: Percentage of leads that proceed to start an application.

  • Application Completion Rate: Percentage of initiated applications that are fully completed.
  • Follow-Up Effectiveness: Success rate of follow-up communications in advancing leads to the next stage of the admission process.
  • Data Accuracy in CRM: Percentage of records in the CRM system that are accurate and up-to-date.
  • Collaboration Index: Frequency and quality of interactions with admissions and marketing teams to ensure coordinated outreach efforts.
  • Professionalism Rating: Feedback score from all the relevant stakeholders regarding their experience and the professionalism exhibited during interactions.
  • Document Collection Efficiency: Average time taken to collect all mandatory documents from new admissions.
  • Training Participation Rate: Attendance rate in mandatory training sessions, reviews, and meetings.
