Job Description
Supports the FMS Head with day-to-day operations of the facility(s) or Office including, general maintenance and helps to ensure these are carried out in a manner consistent with company policies and ownership directives.
We are seeking a highly motivated and experienced Facility Management Project Lead to oversee and manage various facility-related projects. The ideal candidate will possess a strong background in project management, vendor coordination, stakeholder communication, and a solid understanding of both soft and M&E (Mechanical & Electrical) services. This role demands a proactive individual who can effectively manage project timelines, budgets, and resources, ensuring seamless project delivery and maintaining high standards of facility operations.

Key Accountabilities
- Project Management:
- Develop and manage comprehensive project plans, including timelines, budgets, and resource allocation.
- Utilize Gantt charts and other project management tools to track progress and ensure timely completion.
- Monitor project risks and implement mitigation strategies.
- Ensure projects are delivered within scope, budget, and schedule.
- Developing project plans and budgets- BOQ’s
- Estimate the project as per BOQ’s
- Prepare the BOQ’s Administrative Support on BOQ’s
- Vendor Management:
- Source, evaluate, and manage relationships with vendors, contractors, and suppliers.
- Negotiate contracts and ensure adherence to service level agreements.
- Conduct regular vendor performance evaluations.
- Follow up with vendors to ensure that all the work is done on time.
- Stakeholder Coordination:
- Serve as the primary point of contact for stakeholders, including internal departments, clients, and external partners.
- Facilitate effective communication and collaboration among all stakeholders.
- Address stakeholder concerns and ensure alignment on project objectives.
- MIS and Reporting:
- Prepare and present regular project status reports and MIS (Management Information System) reports.
- Maintain accurate project documentation and records.
KEY ACCOUNTABILITIES - Additional Details
- M&E Services Management:
- Oversee the maintenance and operation of M&E systems, including HVAC, electrical, plumbing, and fire safety.
- Coordinate with M&E technicians and contractors to ensure optimal system performance.
- Ensure compliance with relevant safety and regulatory standards.
- Soft Services Management:
- Supervise and manage soft services, including cleaning, security, landscaping, and waste management.
- Ensure high standards of cleanliness, safety, and service delivery.
- Monitor and improve soft service performance.
- Design Team Coordination:
- Coordinate with design teams, to ensure the facility projects are carried out as per the approved designs.
- Provide input from a facility management perspective to design teams.
- Cost Management On Projects
- Conduct Risk Assessment and Resource Planning
- Develop Work Breakdown Structure (WBS)
- Project Timeline and Budget Adherence:
- KRA: Completing the project within the agreed-upon timeframe and budget.
- This involves effective scheduling, resource allocation, and cost control.
- Quality of Work and Compliance:
- KRA: Ensuring that all work meets quality standards and complies with relevant regulations and safety requirements.
- This includes adherence to building codes, safety protocols, and industry best practices.
- Stakeholder Satisfaction:
- KRA: Maintaining high levels of satisfaction among building occupants, clients, and other stakeholders.
- This involves effective communication, responsiveness to concerns, and delivering results that meet expectations.
- Efficient Resource Management:
- KRA: Optimizing the use of resources, including personnel, equipment, and materials.
- This involves efficient procurement, inventory management, and resource allocation.
- Risk Management:
- KRA: Identifying, assessing, and mitigating potential risks that could impact the project.
- This involves proactive risk planning, contingency planning, and effective problem-solving.
- Maintenance and Operational Efficiency:
- KRA: After project completion, ensuring the facilities are working at optimal efficiency. This includes preventative maintenance, and rapid problem resolution.
- KRAs should be specific, measurable, achievable, relevant, and time-bound (SMART).
- They should be aligned with the overall goals of 1 the organization and the specific project objectives.
